Managing reservations in Shopify POS

View and manage table bookings from Shopify POS

You can view today’s bookings, create walk-in reservations, and update booking statuses from Shopify POS. The Reservations tile opens the bookings list for the restaurant linked to that POS location.

Considerations

  • The POS location must match a restaurant in Zapiet Eats. Restaurants are usually created from your Shopify locations. If POS says the location isn’t linked, open Restaurants in Zapiet Eats and check that the restaurant matches that POS location.

  • The restaurant must have Enable table reservations turned on. See Restaurant reservation settings.

Add the Reservations tile to Shopify POS

  1. In Zapiet Eats, click Dashboard.

  2. In the Storefront extensions section, find Point of Sale, then click Manage POS.

  3. In the Shopify POS editor, add the Reservations tile to your home screen. The tile description is Table reservations.

  4. On your Shopify POS device, open the home screen and tap Reservations.

The bookings list opens for the restaurant linked to this POS location.

If table reservations are not enabled for that restaurant, POS shows Table reservations aren't enabled for this location. Enable them in Zapiet Eats under Restaurants → [restaurant] → Reservations.

View bookings

  1. On Shopify POS, tap Reservations.

  2. Use ← Prev and Next → to change the date, or tap Go to today to return to today.

  3. Use Search name, phone or reference to find a booking when you are online.

  4. Tap a reservation, or tap Details ›, to open it.

Bookings are grouped by time. If there are none for the selected day, you will see No reservations.

Create a reservation on POS

You cannot create new bookings while the POS device is offline.

  1. On the bookings list, tap Create.

  2. In Customer lookup, enter a Customer email to find an existing customer, or tap Skip — continue without email.

  3. If no customer is found, you can create one under New customer with First name, Last name, and Phone, then tap Create customer & continue. Or tap Continue without creating customer.

  4. Enter the reservation details:

    • Guest name

      • Party size

      • Phone

      • Email

      • Date

      • Select a time

      • Optional Dietary restrictions and Notes

  5. Tap Create reservation.

The reservation is created as Confirmed.

Update a reservation status on POS

The main button depends on the current status.

  1. Open the reservation.

  2. Use the main action for the current status:

    • Pending (waiting for confirmation) → tap Confirm

      • Confirmed → tap Seat guest

      • Seated → tap Complete

  3. To mark a confirmed reservation as a no show, tap Update status, then tap Mark as no-show.

  4. To cancel a reservation that is waiting for payment, waiting for confirmation, or confirmed, tap Cancel reservation.

When you cancel a reservation or mark it as a no show, the guest is emailed if an email address is on the booking.

Edit a reservation on POS

Editing is only available while the POS device is online.

  1. Open the reservation.

  2. Tap Edit.

  3. Update the party size, phone, email, date, time, dietary restrictions, allergens, or notes.

  4. Tap Save changes.

The guest name cannot be edited on POS after the booking is created. To change more guest details, use Zapiet Eats. See Managing reservations.

Work offline

If the POS device loses internet:

  • The Reservations tile shows Offline, but you can still open it.

  • You can view the last saved list of bookings.

  • Status updates are saved on the device and sync when you are back online. Affected bookings show a Pending sync badge.

  • You cannot create new bookings, search, or edit bookings while offline.

Notes

  • Bookings created on POS start as Confirmed. Online bookings may start as Pending payment or Awaiting confirmation, depending on your restaurant settings.

  • Status names on POS may differ slightly from Zapiet Eats. For example, POS may show Pending for bookings that appear as Awaiting confirmation in the app.

  • Deposit payment links can be copied from Zapiet Eats, not from POS. See Managing reservations.

  • If Google Calendar is connected, create, update, reschedule, cancel, and no-show actions also update the calendar. See Syncing reservations with Google Calendar.

Limitations

  • You cannot copy a deposit payment link from POS.

  • You cannot export bookings from POS.

  • Guest name cannot be edited on POS after create.

  • Cancel and no-show actions always email the guest when an email address is available. There is no option to skip the email on POS.

  • Offline mode only lets you view saved bookings and queue status updates.
