Shopify Flow can watch for reservation updates from Zapiet Eats and then do things for you — for example, message your team in Slack, send an email, or create a task.
You do not need to turn anything on inside Zapiet Eats for this. If table reservations are available on your account, the reservation options appear in Shopify Flow.
Considerations
Table reservations must be available on your Zapiet Eats account.
Your Shopify store must have access to Shopify Flow.
If you do not see reservation options in Flow, make sure Zapiet Eats is installed and up to date, and that table reservations are available on your account.
Zapiet Eats can start a Flow workflow when a reservation event happens. Flow itself handles what happens next (Slack, email, and so on).
What Zapiet Eats can start in Shopify Flow
Zapiet Eats provides three starting points in Shopify Flow:
Starting point | When it runs |
Reservation created | A new booking is made online, in Zapiet Eats, or on Shopify POS |
Reservation status changed | A booking status changes — for example, confirmed, seated, cancelled, or no show |
Reservation rescheduled | The booking date and/or time is changed |
Create a workflow
In Shopify Admin, open Shopify Flow.
Click Create workflow.
Choose a Zapiet Eats starting point:
Reservation created
Reservation status changed
Reservation rescheduled
Add conditions if you only want the workflow to run in certain cases — for example, only online bookings, or only cancellations.
Add the action you want, such as sending a Slack message or email.
Turn the workflow on.
The workflow will run when matching reservation events happen in Zapiet Eats.
Information available in Flow
Depending on the starting point, Flow can use details such as:
Guest name, email, and phone
Party size
Restaurant name
Booking date and time
Current status
Where the booking came from (online store, Zapiet Eats, or POS) — on Reservation created
Previous status — on Reservation status changed
Previous date and time — on Reservation rescheduled
Example workflows
Message your team when someone books online
Starting point: Reservation created
Condition: the booking came from the online store
Action: send a Slack message with the guest name, party size, date, and time
Alert managers when a booking is cancelled
Starting point: Reservation status changed
Condition: the new status is cancelled
Action: send an email or Slack message to your managers
Track date or time changes
Starting point: Reservation rescheduled
Action: create a task or send a notification with the old and new date/time
Notes
Guest and team emails are separate from Shopify Flow. Email wording is managed in Zapiet Eats under Settings → Notifications. Take a look at our Reservation notifications guide.
Reservation status changed only runs when the status actually changes.
Reservation rescheduled only runs when the date and/or time changes.
When a guest pays a deposit, the booking status may change, which can start Reservation status changed.
Limitations
There is not a separate Flow starting point for every status. Use Reservation status changed and add a condition for the status you care about.
Zapiet Eats does not create or update bookings through Flow actions.
Guest phone is included when a booking is created or its status changes, but not when it is rescheduled.
