Staff and permissions control who can work in Zapiet Eats. You invite people who already have a Shopify staff account, choose what they can do, and optionally limit them to specific locations.
Use this when kitchen or front-of-house staff should manage orders without changing settings, or when a manager should edit only one location.
Before you begin
The person you invite must already have a Shopify staff account. Create that account in Shopify Admin under Settings > Users. See Shopify’s user management guide.
You need permission to manage Staff in Zapiet Eats.
Enable staff permissions
If the page shows Control what your staff can access, turn the feature on first.
In Zapiet Eats, go to Settings > Staff and permissions.
Click Enable Staff Permissions.
Staff then only see the areas you grant. You can click Disable permissions later. That gives every staff member full access, including settings.
Invite staff
In Zapiet Eats, go to Settings > Staff and permissions.
Click Add staff account.
In Email, enter the staff email. Separate more than one address with a comma.
Under Permissions, select what they can do.
If the permissions apply to locations, choose All locations or Select allowed locations.
If you chose Select allowed locations, select the locations.
Click Send invite.
The staff member receives an email confirming their access.
Choose permissions
Select at least one permission.
Orders: manage orders from the selected locations.
Reservations: manage reservations from the selected locations. This appears when reservations are available.
Manage locations (full access): create, update, and delete locations.
Menu schedule only: edit menu schedules, blackout dates, and daily inventory for assigned locations. You cannot select this together with Manage locations (full access).
Menus: create, update, and delete menus.
Reports: view reports from the selected locations.
Settings: change app settings.
Staff: manage staff members and permissions.
Manage product inventory: manage product inventory from the selected locations.
API and MCP: manage API tokens and MCP server credentials.
Use Manage locations (full access) for someone who should edit addresses, hours, and service settings. Use Menu schedule only for someone who should change when a menu is offered without editing the rest of the location.
Restrict access to locations
Location-based permissions apply only to the locations you assign.
Open the staff member.
Select Select allowed locations.
Choose the allowed locations.
Click Update permissions.
Staff can then access only the selected locations for the permissions you restricted.
Change or remove access
In Zapiet Eats, go to Settings > Staff and permissions.
Select the staff member.
Change permissions or locations.
Click Update permissions.
To remove access without deleting the record, click Deactivate staff member. Click Reactivate staff member to restore it. To remove a staff record, return to Staff and permissions, select the member in the list, and click Delete member. Read the confirmation, then click Confirm to remove the record or Cancel to keep it.
Pending requests appear under Requests. Click Approve request or Decline request.
Grant orders access by email domain
If your team shares one email domain, you can grant Orders access automatically.
In Zapiet Eats, go to Settings > Staff and permissions.
Click Team settings.
Select Automatically grant orders permission.
Confirm Allowed domain.
Click Save.
Staff with that email domain receive Orders access automatically when they next sign in. Saving the setting does not immediately change every existing staff member. Staff-specific permissions, location restrictions, or a disabled status can still apply.
