Product group limits

Set one daily or per-timeslot limit that a group of products share.

Written by Clemency Farmer

A product group limit sets one maximum quantity that several products share. Use it when different items draw on the same kitchen capacity.

This is separate from the limits you set on individual products in Daily inventory.

Avoid combining product group limits with individual product limits in the Daily inventory section. Remove individual product limits for any products covered by a group limit.

Requirements

  • Customers must order through the Zapiet Eats ordering page.

  • A menu must be created already with the products you want to limit added, and the menu must be assigned to a location.

  • In Shopify, make sure the products share the collection, tag, vendor, or product type you plan to group by.

Add a group limit

  1. Go to Locations, and open a location.

  2. In Menus, open the menu you want to add limits to.

  3. In Daily inventory, under Product group limits, click Add group limit.

  4. In Limit name, enter an internal name you'll recognise to manage the group limit.

  5. In Apply to, choose how to select the products in the group:

    • Shopify collections

    • Products (all variants)

    • Specific variants

    • Product tags

    • Vendors

    • Product types

  6. Select what the limit applies to:

    • For collections, products or variants, click Select and choose them in the Shopify picker.

    • For tags, vendors or product types, type in Search Shopify values, then tick each value you want. Your earlier choices stay selected when you change the search.

  7. Enter a Per-timeslot limit, a Daily limit, or both. Each must be a positive whole number. Leave a field blank if you don't need that limit.

  8. If customers can order for later dates, tick Apply limits to future orders.

  9. Click Apply limit.

  10. Click Save.

Your group limit now applies to that location’s menu. Repeat as needed for all your groups.

Avoid combining group limits with individual product limits. Remove individual product limits for any products covered by a group limit.

How the shared limit is counted

  • Per-timeslot limit: every product in the group counts towards one total for each timeslot. Each timeslot has its own allowance.

  • Daily limit: every product in the group counts towards one total for the whole day, across all timeslots.

  • Both: each timeslot is capped, and the day as a whole is capped. If the daily limit runs out, no more of the group can be ordered that day, even in a timeslot that has room.

Change or remove a group limit

In Daily inventory, under Product group limits, edit the limit, make your changes and click Apply limit. Then click Save on the page.

To stop applying a group limit, click Remove, and then Save.

Check usage in the Product limits report

  1. Go to Reports, then open Product limits.

  2. Choose the Location, Menu and Fulfillment date.

  3. In Product or group limit, choose the group.

  4. In Timeslot, choose Whole day to see daily usage, or choose a timeslot to see its usage and orders.

The report shows the Daily limit, Timeslot limit, Remaining, and Status, the Contributing products and the orders that count. Checkouts that are on hold reduce Remaining and appear in a note about held quantities, not in the orders list. If the group only has a per-timeslot limit, choose a timeslot to see its usage.

Notes

  • Choosing a collection or product in a group limit doesn't add it to the menu, and doesn't make a hidden item available to order. The limit only applies to products that are on the menu.

  • When a customer proceeds to checkout, their items are held against the limit for up to 30 minutes. A held checkout counts as used until it is completed or expires. Items sitting in a cart before checkout are not held.

  • Cancelled and declined orders don't count. If you refund part of an order, the refunded quantity no longer counts and the rest still does.

  • A product can have its own limit and also belong to one or more groups. Every limit that applies is enforced, whichever has the lowest remaining quantity applies. The limits don't add together.

  • If you add or remove a tag, or change a product's vendor, type or collection, the change applies once it has synchronised with Zapiet Eats. This usually takes a few minutes. If it takes much longer, please contact our support team.

    • The change also applies to orders already placed. For example, if you remove a tag from a product, its earlier sales stop counting towards a group that targets that tag.

    • Hiding a product or taking it off sale doesn't remove its earlier sales from the count while it still matches the group.
