Configure reservation settings

Set reservation hours, party size, notice period, confirmation, deposits, occasions, and blackout dates for a location.

Written by Andy Cargill

Each location has its own reservation rules. Use them to control when guests can book, how many tables are available to book, whether staff confirm requests, and whether a deposit is required.

Save the location after you change these settings so the booking page uses the new rules.

Before you begin

Open reservation settings

  1. In Zapiet Eats, go to Locations.

  2. Open the location.

  3. In Reservations, click Enable if reservations are off. If they are already enabled, click Manage.

When guests can book

In Availability:

  1. Set Reservation opening time.

  2. Set Reservation closing time.

  3. Choose a Timeslot interval. This is how often bookable times are offered, for example every 30 minutes.

  4. Set Preparation time (minutes). This is the notice period. For example, 60 means the earliest booking starts one hour from now.

  5. Set How far in advance to limit how many days ahead guests can book.

Optional:

  • Automatically select the earliest available date and time pre-fills the earliest slot. Guests still confirm the time before they submit.

  • Show all available time slots lists every time for the selected date.

Party size and table capacity

In Capacity:

  1. Set Maximum party size.

  2. Set Maximum reservable tables. Keep some tables free for walk-ins if you need them.

  3. Set Maximum guests per timeslot. This limits the combined number of guests across bookings at the same time.

For example, to accept two bookings of four guests in one timeslot, allow at least two reservable tables and eight guests per timeslot, with a maximum party size of at least four. A single booking must fit the party-size limit, and all bookings together must fit the table and guest limits.

These settings control capacity; they do not assign a guest to a numbered table.

Confirmation

In Confirmation, choose one option:

  • Automatically confirm reservations: guests see a confirmation as soon as they book.

  • Require restaurant confirmation: new requests appear as Awaiting confirmation until staff click Confirm.

The option you choose changes what the guest sees after Request reservation, and which action staff take first on Reservations.

Deposits

If you collect a deposit:

  1. Turn on Require a deposit.

  2. Choose Deposit type: Per reservation (flat fee) or Per person.

  3. Enter Deposit amount or Deposit amount per person.

  4. Click Save.

A flat fee is charged once per booking. A per-person deposit multiplies the amount by the party size. For example, a deposit of 10 per person for four guests totals 40 in your store currency.

The guest pays the deposit in Shopify checkout. The booking remains Pending payment until payment is complete, then becomes Confirmed or Awaiting confirmation, according to the confirmation setting used when it was requested. Staff see the payment on the reservation.

Occasions

Occasions apply to every location and appear on the booking form.

  1. In Zapiet Eats, go to Settings > Occasions.

  2. Click Add.

  3. Enter Occasion name in English. Add translations using the language selector if needed.

  4. Click Save in the window.

  5. Click Save in the page’s save bar to store the list.

You can add up to 20 occasions, with names of up to 100 characters. Use an occasion’s Actions menu to edit or delete it, or its drag handle to reorder the list. Click Save after these changes.

Blackout dates

In Blackout dates on the location:

  1. Open Add a blackout date.

  2. Select the date guests must not book.

  3. Click Add date to add it to the list.

  4. Click Save on the location.

Those dates do not offer reservation times. To reopen a date, use its Delete blackout date control and click Save. Reservation blackout dates are separate from pick-up, delivery, and dine-in order blackout dates.

Describe the location on the booking page

In the location’s Reservations settings:

  1. Under About, enter a Restaurant description. This appears on the reservations page.

  2. Under Details, add useful information such as Price range, Dining style, Dress code, Parking, and Public transport.

  3. Enter Cuisines, Payment options, and Additional details as comma-separated values. These describe the location; they do not configure checkout payment methods.

  4. Click Save.

Open the booking page and review the information customers will use when choosing the location. See Let customers book a table.

Add photos to the booking page

  1. In Photo gallery, click Add photo.

  2. Choose a JPG, PNG, or WebP image no larger than 2 MB.

  3. If Shopify asks for permission to use Files, approve it to continue the upload.

  4. Wait for the photo to appear before adding another. You can upload up to eight photos.

Uploads and removals are stored immediately. Use Remove photo on a photo to remove it from the gallery. Review the gallery on the customer booking page after making changes.

Save

  1. Review the settings.

  2. Click Save.

The booking page now uses the new hours, capacity, and confirmation rules.
